Security & Data Privacy
PlayerUp is built to protect player, coach, and organization data from day one. Security and privacy aren’t add-ons — they’re part of how accounts, access, and information are designed across the platform.
Overview
Security & Data Privacy in PlayerUp is focused on two things:
- Keeping data safe — using modern, cloud-based security practices.
- Keeping data in the right hands — using clear roles, permissions, and scoping.
PlayerUp is not a registration, league management, or payment platform. Tools like TeamSnap, GameChanger, PlayMetrics, and Spond handle sensitive information such as billing, league registration, and payment details. PlayerUp focuses on the coaching and player development layer, which naturally reduces the amount of sensitive personal and financial data it needs to store.
Authentication and session management are handled through secure identity services (such as AWS Cognito), and access to data is always scoped to the correct team and organization.
Who it’s for:
- Organizations that need confidence in how development data is stored and accessed
- Coaches and staff responsible for player information and communication
- Parents and players who care about how their data is handled over time
How it works
- Secure authentication & sessions
- Users sign in with secure, token-based authentication.
- Sessions are managed by trusted identity infrastructure to reduce exposure to common auth risks.
- Data encryption in transit and at rest
- All traffic between PlayerUp and your device uses HTTPS (TLS).
- Data in PlayerUp’s databases is stored using industry-standard encryption at rest.
- Role-based access control (RBAC)
- Access to evaluations, goals, messages, and plans is governed by roles and permissions set at the team and organization level.
- Players only see their own development data; coaches and admins see data based on their role.
- Team and organization scoping
- Data is scoped to teams and organizations, preventing cross-team leakage.
- Directors and admins can only see information for teams they’re explicitly granted access to.
- Limited data collection
- PlayerUp focuses on development data (feedback, goals, plans, analytics) — not payments or government IDs.
- Registration, payment, and league logistics stay in external systems where they belong.
- Data ownership & lifecycle
- Organizations control who is invited, removed, or reassigned.
- When players or coaches leave a team, their access is revoked while historical data remains available to authorized staff, as defined by the organization’s policies.
Key benefits
Lesssensitive data in the system that coaches use daily
By leaving registration and billing to admin tools, PlayerUp reduces its exposure to certain categories of sensitive information.- Clear, predictable access rules
Roles and permissions are explicit. Everyone’s visibility is tied to their role and the teams they’re assigned to. - Protected communication and development records
Evaluations, goals, and messages are kept inside a secure environment, not scattered across SMS, email, and generic chat apps. - Scales safely with your organization
The same security model applies whether you’re running one team or dozens of teams across age groups and locations. - Aligned with modern cloud security practices
PlayerUp relies on proven cloud infrastructure and managed identity services rather than ad-hoc, homegrown security.
